About Your Job:

We are looking for an Executive Secretary to join the team in our London office to support the Country Manager for UK & Ireland with day to day functions. You will promote high standards of corporate and commercial values through correspondence, telephone and personal contact and will be responsible for various administrative functions to support the efficient running of the station.

Accountabilities:

  • Maintain the calendar of appointments, meetings, travel itineraries and coordinate related arrangements
  • Prepare agendas, confirming attendees, arranging conference rooms for upcoming meetings
  • Tactfully handle and monitor telephone calls and emails to Country Manager and forward issues that can be actioned/resolved by other managers to the people concerned and keep Country Manager updated at all times maintaining confidentiality at all times
  • Responsible for daily communications and coordinate with the local QR regional staff and Country Management teams to ensure efficient and effective communications in a timely fashion
  • Reconcile monthly expenditure in relation to duty travel
  • Ensure assistance and support to Country Manager in their duties to ensure they are carried out in a timely and efficient manner
  • Maintain organisational unity in local office by providing consistent access to new communication and announcements as provided by head office
  • Prepare logistics for management meetings
  • Assist and support Country Manager with any ad hoc work 
  • Attend management meetings and ensure agendas are forwarded to the manager/staff concerned

The successful candidate will ideally have:

  • Experience of working within an administrative role within a multi-national company
  • Strong customer service background
  • Excellent English communications skills both verbal and written
  • A pro-active approach
  • Strong interpersonal skills with the ability to build effective relationships
  • Ability to multi-task and work independently with minimum supervision
  • Advanced MS Excel skills
  • Ability to remain calm under pressure
